Job Description
Job Purpose
Develop and implement a maintenance strategy to cover all types of maintenance required in maintaining the asset value of properties in a cost effective manner. Responsible for all technical matters across the company’s owned buildings and 3rd party portfolio of buildings including the annual maintenance, implementation of company CMMS and building improvement budgets. Responsible for managing a team of technical employees and outsourced contractors in the maintenance and operation of all mechanical, electrical, plumbing, civil and fabric works including life safety equipment in order to achieve high quality service and for the building tenants. Responsible for ensuring tenant fit-out works comply the company’s Contractor Fit-out Manual’.
Accountabilities
Technical Skills
- To develop a maintenance strategy in order to effectively manage the maintenance undertaken across the company’s growing portfolio of buildings and drive down reactive maintenance costs.
- To implement and manage the population of the company CMMS across the companies 41 sites. Identify resources to aid its implementation including establishing asset registers and PPM activities into the database.
- Establish and implement a preventative maintenance program that minimizes emergency repairs and service repairs.
- Write technical specifications and assist in the Tender process and site liaison with contractors.
- To ensure all data related to the maintenance of property is inputted into the CMMS system.
- Manage the team of technical experts in the maintenance of the company’s portfolio of buildings.
- Ensure all technical aspects of 3rd party portfolio of buildings are maintained in compliance with the building owner’s requirement in order maintain the value of their building plant and equipment.
- To supervise and monitor the performance of subcontractors ensuring value of money in the service delivery by specialist contractors.
- Ensure comprehensive cost projections for labor, material, and special services for use in preparation of annual operating budgets.
- Maintain the physical condition of the property according to the company & Kuwait operating and safety standards.
- Prioritize and ensure that helpdesk service requests and repairs are rectified in a timely manner
- Ensure helpdesk desk maintenance requests are closed down once completed
- Provide essential technical support for property managers and their assistants to maximize properties systems performance
- Personally inspect properties on a regular basis to ensure all repair work is being undertaken properly, safely, and in a timely manner.
- To ensure value for money and obtain 3 quotations, as and when necessary.
- Write briefing documents on proposals for capital works.
- Sign off specifications and final systems in any refurbishment or fit-out project, ensuring contractors comply with the specifications.
- Manage contractor SLA’s in conjunction with the Facilities Management Department Head.
- Meet with maintenance contractors for ongoing contract reviews.
- Carry out detailed building inspections and provide management reports on their conditions.
- Review Contract documents and prepare works for CRC newly acquired buildings and renovations of existing buildings,
- Witness building commissioning, highlighting identifying any risks prior to handover.
- Check, snag and audit installation in new buildings ensuring that issues highlighted are resolved
Vendor / Contractors Management
- Maintain a preferred contractor list in order to maintain buildings.
- Ensure maintenance supplies and equipment are procured using standard purchase order system and proper bidding procedures.
- Review all quotations received, checking the specification and negotiate costs in order to receive best value.
- Co-ordinate works requiring specialist contractors.
- Carry out contractor audits
Quality Control
- Ensure the technical team is fully trained, competent and qualified to carry out their tasks assigned to them.
- Ensure technical works is carried out in a safe and proper manner
- Organize and prioritize service requests.
- Ensure all service requests and repairs are made correctly and in a timely manner.
- Oversee completion of service requests
- Maintain an effective preventative maintenance program.
- Ensure adherence to the company’s safety and hazard communications programs, policies and procedures.
Customer Service
- Ensure the clients business is not adversely affected during maintenance operations.
- Maintain a high level of customer satisfaction.
- Communicate effectively with Project Department, Heads of Department, vendors, contractors and supervisors.
